Single Status Apostille Co. and Philadelphia Notary & Apostille are not a law firm and do not provide legal advice. We do not prepare documents for you. We provide free self-help templates that you complete yourself, and we then offer notarization, translation, and apostille processing on the document you produced. Nothing on this site — including templates, generated affidavits, FAQs, blog content, or staff communications — constitutes legal, immigration, or tax advice. For legal advice you must consult a licensed attorney in the appropriate jurisdiction.

Document templates, drafts, and the affidavit generator on this site are provided free of charge as self-help tools. The fees you pay cover notarization, apostille processing, translation, courier, and government filing services — not the underlying template. We make no representation that any template is suitable for your specific legal situation or for the requirements of any foreign authority.

You are solely responsible for the accuracy, completeness, spelling, dates, names, and substantive content of every document you submit, generate, or have us process. We type, notarize, translate, and apostille what you provide. We do not verify the truth of your statements, the correctness of names against passports, or the suitability of your document for its intended foreign use. Any error, omission, misspelling, or factual misstatement is your responsibility, including the cost of reprocessing.

Apostille, translation, legalization, and formatting requirements vary by country, consulate, civil registry, court, and even by individual officer. It is your responsibility to confirm — before ordering — exactly what the receiving authority requires, including: document type, translation type (certified vs. sworn), translator credentials, number of pages, cover sheets, double apostille, additional consular legalization, validity windows, and binding format. We are not responsible for documents rejected by a foreign authority for failing to meet requirements that were not communicated to us in writing at the time of order.

Notarial acts are performed by a Pennsylvania-commissioned notary public (or, for travel notary, in the state indicated at checkout) in accordance with applicable state law. The notary verifies signer identity and witnesses the signature only. The notary does not attest to the truth, legality, or sufficiency of the document's contents. Valid government-issued photo ID is required; refusal or inability to produce ID at the appointment forfeits the notarization fee.

Apostille service fees cover our processing, courier, and handling. Secretary of State and U.S. Department of State fees are government fees collected on your behalf and are non-refundable once the document has been submitted to the issuing authority. Processing times quoted are estimates based on current government turnaround and may change without notice. We are not liable for delays caused by any government office, courier, customs, consulate, or force majeure event.

Certified and sworn translations are produced by qualified translators retained by us. By ordering, you confirm that the source document is the final version and is legible. You are responsible for confirming the correct target language, dialect, and translator type (certified vs. sworn/jurado/juramentado/assermenté) required by the receiving authority. Revisions for content you provided incorrectly will be billed at the same rate as the original translation.

All fees are non-refundable once work has begun. "Work begun" includes, without limitation: notarization performed, document drafted from your inputs, translation started, document submitted to any Secretary of State or the U.S. Department of State, courier dispatched, or appointment held. If a document is rejected solely due to a verifiable processing error on our part, we will reprocess at no additional service-fee cost; you remain responsible for any new government fees, courier charges, and translation re-typesetting. Reprocessing is the sole and exclusive remedy.

For travel (mobile) notary appointments, you are responsible for: providing a correct and complete service address (including unit, suite, gate code, and building access instructions); being physically present at the address at the scheduled time; having all signers present with valid government-issued photo ID; and having the document(s) ready to sign. Our notary will wait a maximum fifteen (15) minute grace period from the scheduled appointment time. If we cannot reach you by phone, text, or email within that window, the appointment is treated as a no-show and you forfeit the full travel notary fee, notarization fee, and any related service charges in their entirety — no refunds, no credits, no rescheduling at the original price. A new appointment requires a new full-service booking. Wrong address, locked building, absent signer, missing ID, or refusal to sign are all treated as a no-show.

Remote Online Notarization is performed by a Pennsylvania-commissioned electronic notary under Pennsylvania's RON rules and regulations (and, for international sessions, in accordance with cross-border RON requirements). You agree to: (a) use a device with a working camera, microphone, and stable internet connection; (b) present valid, unexpired, government-issued photo ID for credential analysis and knowledge-based authentication (KBA); (c) appear alone on camera unless additional signers are scheduled; (d) be physically located in a jurisdiction that recognizes Pennsylvania RON at the time of the session. A fifteen (15) minute grace period applies to RON appointments. If you fail KBA, cannot present valid ID, fail to appear, or cannot complete the session within the grace period, the session is treated as a no-show and all fees are forfeited. We are not responsible if a receiving authority, foreign country, court, or agency does not accept a RON act — it is your responsibility to confirm RON acceptance before booking.

If a document must be redrafted, re-notarized, re-translated, re-submitted, or re-apostilled because of incorrect, incomplete, misspelled, or changed information you provided — or because you failed to disclose a country/authority requirement at the time of order — you will be charged a full-service reprocessing fee equal to the original service price, plus any new government fees, translation fees, courier charges, and shipping. This includes (without limitation) name misspellings, wrong dates, wrong country, wrong translation type, wrong apostille destination, change of purpose, or a decision to add pages or add an apostille after submission.

Philadelphia Notary & Apostille is not responsible for any rejection by a Secretary of State, the U.S. Department of State, an embassy, consulate, civil registry, court, immigration office, or any other domestic or foreign authority. We will reprocess at no service-fee cost only when the rejection is caused by a verifiable error on the notarial certificate or another error demonstrably of our own making (e.g. wrong notary wording, missing seal, our typographical error in a section we drafted from correctly supplied source data). Reprocessing in that case still requires you to pay any new government fees, courier, and shipping. Rejections caused by your information, by changing country requirements, or by an officer's discretionary refusal are not eligible for free reprocessing and are subject to the full-service reprocessing fee under Section 08c.

You expressly acknowledge that Philadelphia Notary & Apostille and Single Status Apostille Co. do not represent you in any shape or form — not as your attorney, not as your agent for legal purposes, not as your immigration consultant, and not as your advocate before any government, consulate, court, or foreign authority. We do not prepare documents on your behalf; we provide free self-help templates that you complete yourself, and we then notarize, translate, or apostille the finished document strictly as you instruct. We make no appearances, no arguments, and no representations on your behalf.

Shipping times are estimates provided by USPS, UPS, FedEx, or DHL and are not guaranteed by us. Risk of loss passes to you upon handoff to the carrier. Lost or damaged shipments are governed by the carrier's liability terms; we will assist with claims but are not liable beyond declared carrier coverage. International recipients are responsible for any customs duties, taxes, or import requirements.

By submitting an order you affirm that (a) you are at least 18 years old and have full legal capacity to contract; (b) you are acting of your own free will, without duress, coercion, or undue influence; (c) all information you provide is true and accurate to the best of your knowledge; (d) you have read, understood, and accepted these Terms & Conditions in their entirety; and (e) you understand that we are not your attorney and that you waive any expectation of legal advice from us.

To the maximum extent permitted by law, our total aggregate liability arising out of or related to your use of our services shall not exceed the service fees you paid for the specific order at issue, excluding government fees, translation fees, and shipping charges. In no event are we liable for indirect, incidental, consequential, special, punitive, or exemplary damages, including lost profits, missed deadlines, denied visas, denied marriages, denied citizenship, or denied residency applications.

You agree to indemnify, defend, and hold harmless Single Status Apostille Co., Philadelphia Notary & Apostille, and their officers, employees, notaries, translators, and contractors from and against any claim, loss, liability, or expense (including reasonable attorneys' fees) arising from your inaccurate information, your misuse of any document we processed, or your violation of these Terms.

We collect personal information solely to process your order (identity verification, drafting, notarization, apostille submission, translation, shipping). We do not sell your personal information. Government authorities receive only the documents required for authentication. Records may be retained as required by Pennsylvania notary law and tax regulations.

These Terms are governed by the laws of the Commonwealth of Pennsylvania, without regard to its conflict-of-laws principles. Any dispute shall be resolved exclusively in the state or federal courts located in Philadelphia County, Pennsylvania, and you consent to personal jurisdiction there.

We may update these Terms at any time. The version in effect at the time of your order governs that order. Continued use of the site after changes constitutes acceptance of the revised Terms.
